Summary

This position provides coordination and support to the Business Office and Student Accounts. This coordination includes, but is not limited to, Purchase card review, student accounts processing, filing, managing calendars, general website updates, and other general office activities.  It also supports and coordinates internal and external data requests, as needed.

 Essential Duties and Responsibilities

  • Coordinate department events and monthly meeting
  • Coordinate department staff appreciation
  • Coordinate department participation in University activities and events
  • Process and distribute mail daily
  • Reserve conference rooms for department needs
  • Assist with maintaining Student Accounts materials
  • Assist with maintaining Business Office website
  • Processing of campus Amazon and Staples orders and setting up user accounts
  • Order office supplies for Business Office
  • Submit all work orders for the department
  • Enter requisitions for all Business Office managers
  • Maintain department vacation calendar
  • Maintain VPs calendar
  • Assist Accounts Payable with processing employee reimbursement forms
  • Onboard all student workers for the department
  • Assist Accounts Payable in collecting W9 forms and setting up vendors in Jenzabar and Paymerang.
  • Purchase Card Administrator (opens/closes accounts), process purchase card transactions, order new cards/cancel cards and reset passwords as needed
  • Serve as back up to the staff accountant for accounts payable invoice coding
  • Serve as back up Student Accounts customer support
  • Assist in monitoring interntional business office e-mail
  • Assist with the dual enrollment billing and payment coordination
  • Assist the Director of Business Services in coordinatating with International Agents
  • Enter property and general liability claims into tracking spreadsheet
  • Assit with data entry and maintenance for deposits and receipting
  • Run daily and weekly Student Accounts processes within Jenzabar and Outlook
  • Assist with Student bill printing and sending
  • Coordinate and organize office storage needs
  • Coordinate card reader requests for use
  • Assist with follow up for outstanding checks
  • Coordinate signature and authorization requests
  • Other duties as assigned

Education and/or Experience

High school diploma and 3 years office experience or proven history of ability to organize and maintain data and coordinate busy schedules.
