Summary

The position of Clinical Coordination Assistant / Administrative Assistant requires an individual who can provide academic and professional leadership within the program, school, university, and community.  The Clinical Coordination Assistant / Administrative Assistant must be committed to the centrality of a Trine University education and possess the ability to support faculty in achieving excellence in teaching, scholarship, outreach, and engagement.  With a broad understanding of appropriate academic programs and potential future directions; be flexible, visionary, creative and energetic; and possess a demonstrated capacity to lead faculty and staff.  The Clinical Coordination Assistant / Administrative Assistant will be responsible for administrative tasks for the clinical education time, including but not limited to: organizing onboarding for sites and students, reviewing required documentation as set by ARC-PA, and other duties assigned by the clinical team, as well as participating in the ongoing program(s) accreditation process. The Clinical Coordination Assistant / Administrative Assistant will provide service to the university, community, and the PA profession, while fully supporting Trine’s mission of preparing students to succeed, lead, and serve. The Clinical Coordination Assistant / Administrative Assistant reports to the Director of Clinical Education.

Essential Duties and Responsibilities

  • Assists in the student’s onboarding process at a clinical site from establishing affiliation agreement and placement of student up to the assessment of student at the end of a rotation.
  • Assists in the establishment and ongoing evaluation of clinical sites for experiential phase of training.
  • Interacts with faculty and clinical education faculty.
  • Promotes the PA program and the PA professions to potential students and community.
  • Assists with PA admission interviews
  • Establishes collaborative relationships within the healthcare community of Fort Wayne and the region.
  • Schedule appointments, meetings, and reservations as needed for designated program director.
  • Attend staff meetings, coordinate agendas, and record meeting minutes
  • Attend and assist in the documentation of faculty meetings and faculty committees
  • Assist and participate in ongoing accreditation process including assisting with accreditation reports pertaining to clinical education
  • Assist in the process of recruitment, admission, and orientation of students
  • Assist with the onboarding of new faculty
  • Assist in the research, creation and distribution of reports, syllabi, and other program documentation with a high level of accuracy
  • Interact with faculty and clinical preceptors in a personable and professional manner
  • Assist with the promotion of Trine’s health professions programs to potential students and the community
  • Coordinates the onboarding process of incoming students: including frequent communication with incoming students regarding the expected immunizations and student orientation requirements for contracted health systems associated with the program; reviewing and approving of these required documents.
  • Reviews annual and program required documents related to clinical education.
  • Initiates requests for Certificates of Liability for contracts and student clinical rotations.
  • Assists the Clinical Coordinator with clinical rotation preparation, including checking and maintaining site specific student requirements as well as communicating with clinical sites.
  • Maintains relations with clinical sites for contract renewal, including obtaining necessary information about site, entering, maintaining and processing appropriate information into clinical education database, and staying current with any changes and update information as needed.
  • Creates tutorial materials for onboarding and training students in the clinical education software system.
  • Other duties as assigned.

Education and/or Experience

  • Preferred - Bachelor’s degree from an accredited university.
  • Proficient in Microsoft Office products, including data entry in spreadsheets.
  • Capable of learning multiple software platforms, assisting the students in the navigation of each software system used in clinical education.
  • Ability to identify inconsistencies and inaccuracies in documents and processes, and make corrections as required.
  • Demonstrates problem solving skills and attention to detail.

Salary

The salary is competitive and commensurate with experience and qualifications.
