Summary

The Director of Camps, Conferences, and Events provides leadership and strategic direction for the planning, coordination, and execution of all university events, including academic ceremonies, athletic contests, donor and fundraising initiatives, youth camps, conferences, and performances at the T. Furth Center for Performing Arts. This role oversees the full event lifecycle—from vision and budget development to logistics, vendor management, and post-event evaluation—ensuring each event reflects the mission of the university and delivers an exceptional experience for students, faculty, alumni, donors, youth participants, and the broader community. The position requires a collaborative leader with strong organizational, communication, and multitasking skills to guide a dynamic team in a fast-paced, service-oriented environment.

Duties and Responsibilities

Strategic Leadership & Planning

  • Develop the overarching vision and goals for university events, aligning them with institutional objectives and priorities.
  • Provide leadership, supervision, and professional development for the Event Services team.
  • Establish policies, procedures, and quality standards to ensure consistent, high-level service.

Event Operations & Execution

  • Oversee all aspects of event logistics, including venue scheduling, catering, audiovisual, transportation, ticketing, and accommodations.
  • Serve as primary liaison for high-profile events such as commencement, scholarship dinners, donor galas, athletic tournaments, youth camps, and performing arts programs.
  • Implement work schedules, staffing plans, and operational procedures to ensure smooth execution of events.
  • Ensure compliance with university policies, risk management, and safety standards.

Facilities & Technology Oversight

  • Oversee scheduling and operations of the T. Furth Center for Performing Arts, including ticketing system management.
  • Manage proper usage and training for AdAstra scheduling software.
  • Supervise care, repair, and inventory of event-related equipment and departmental supplies.

Financial & Vendor Management

  • Develop and manage event budgets; monitor expenses and revenues.
  • Ensure timely and accurate invoicing for camps & event space rentals, maintain budget oversight, and manage expenses in alignment with organizational financial policies.
  • Negotiate contracts and costs with vendors, suppliers, and external partners.
  • Build and maintain strong relationships with sponsors, community partners, and service providers.

Customer Service & Stakeholder Engagement

  • Serve as a central point of contact for faculty, staff, students, alumni, youth participants, and external clients utilizing university spaces.
  • Effectively communicate customer service expectations to staff and ensure high-quality guest experiences.
  • Partner with University Advancement, Athletics, Academic Affairs, and Student Life to deliver mission-centered events, including donor relations, student programming, and youth outreach.
  • Coordinate with other managers and supervisors to provide the required personnel, supplies, and equipment

 

Required Education & Experience

Bachelor’s degree and five years of customer service, sales, or hospitality field experience. Two years’ experience operating audiovisual equipment. Experience with Microsoft word, excel, power point.
