Summary

Responsible for the accounts payable process including vendor setup and management, invoice entry for payments and enforcing university purchasing policies.

Essential Duties and Responsibilities

  • Receive, code, verify and enter invoices.
  • Obtain department approvals for all invoices, reimbursements, correspond with vendors as needed.
  • Process payment batches weekly, including check runs, file uploads to 3rd party, and student refunds.
  • Responsible for maintaining vendor files, accurate W9 and W-8 forms and setting up vendors in Jenzabar and Paymerang.
  • Maintain spreadsheets for complex invoices, including utilities, ensuring accurate expense distribution and posting to the GL.
  • Perform unclaimed funds reporting and issue o/s check letters
  • Reconcile monthly statement and enter expenses for fleet fuel expenses and rental payments
  • Purchase Card Administrator (opens/closes accounts, adjust limits), process purchase card transactions for academic departments; process American Express payment and file appropriate receipts; order new cards/cancel cards as needed; monitor fraud and reconcile p-card payable account.
  • Monitor advance checks and reconcile money returned with receipts
  • Work with athletic dept to process game official's payments.
  • Maintain postage due and business reply accounts with Postmaster
  • Record monthly allocation of postage, envelopes and letterhead
  • Process Purchase Requisitions and maintain appropriate approval tracks in Jenzabar for POs.
  • Provide supporting documentation for audits
  • Create year end 1099 reports/forms and vendor mailings, assist Controller with responses to IRS correspondence.
  • Process employee reimbursement forms
  • Assist in coordinating payment with International Agents
  • Other duties as assigned

Education and/or Experience

Associate’s Degree and three years of of related experience.
