Summary

The Registrar plays a pivotal role in the efficient operation of the university by managing academic records, coordinating course scheduling, facilitating registration processes, serving as an integral part of the commencement team, and ensuring compliance with institutional policies and regulations. The Registrar serves as a central point of contact, and is a positive, effective problem solver for students, faculty, and staff regarding academic matters. The Registrar is a module manager for Jenzabar, Trine’s student information system.

Essential Duties and Responsibilities

Academic Records Management:

  • Maintain accurate and up-to-date records of student academic progress, including grades, transcripts, and graduation requirements.
  • Oversee the secure storage and retrieval of academic records in compliance with applicable laws and regulations.
  • Coordinate the issuance of official transcripts, diplomas, certificates, and other academic credentials.
  • Collaborate with the Office for Academic Affairs in supporting the Curriculum Management process

Course Scheduling:

  • Manage and monitor Angola Campus and Brooks College of Health Professions registration processes. Coordinate the course and classroom scheduling process each semester. Ensure classroom usage is uploaded into AdAstra, the facilities management software. Support and ensure accurate and efficient administration of these functions with the College of Graduate and Professional Studies.

Registration and Academic Transactions:

  • Implement efficient and customer-service oriented online registration systems.
  • Assist students, as needed, with academic planning.
  • Resolve registration-related issues and conflicts in a professional, timely, and efficient manner.
  • Ensure major changes, grade changes, and all other academic transactions are completed efficiently and in a timely manner.

Academic Policy Compliance:

  • Collaborate with the Office for Academic Affairs to interpret and enforce institutional policies and procedures related to academic registration, enrollment, and graduation.
  • Stay informed about changes in academic regulations and accreditation standards, communicating updates to relevant stakeholders.
  • Provide guidance and training to faculty, staff, and students regarding academic policies and procedures.

Collaboration and Support:

  • Serve as a resource for staff and students seeking information about academic programs, degree requirements, and academic policies.
  • Provide academic support to departments by enhancing the degree audit process.
  • Collaborate with Student Success and Retention Staff and others to support student retention efforts.
  • Maintain a professional and courteous attitude at all times towards co-workers, internal and external customers, representing the University, its programs, policies and procedures in a positive and professional manner. Maintain effective working relationships to promote institution-wide teamwork.
  • Support the Athletics Department by certifying eligibility of student-athletes for participation in NCAA D III athletics.
  • Coordinate student communication and support activities for student participation in hooding and commencement ceremonies.
  • Maintain open communication will all departments. 

Reporting and Data Management:

  • Work closely with the Institutional Researcher and Reporter by providing accurate and reliable data for internal/external surveys, accreditation reviews, program assessments, and strategic planning initiatives.
  • Ensure compliance with data privacy regulations and best practices for data security and confidentiality.

Management

  • Oversee all functions within the Office of the Registrar.
  • Supervise the Office of the Registrar staff in a fair, professional, and constructive manner.
  • Maintain a positive and welcoming office environment.

Knowledge 

  • Academic Policies and Regulations: Understand academic policies, regulations, and procedures governing areas such as registration, enrollment, grading, and graduation requirements.
  • Student Information Systems (SIS): Proficiency in using database management software to maintain accurate academic records and facilitate academic processes.
  • Data Privacy and Security: Knowledge of laws, regulations, and best practices related to data privacy, security, and confidentiality in handling sensitive student information and academic records.
  • Technology Skills: Competence in utilizing various technological tools and platforms for communication, data analysis, and information management, including Microsoft Office Suite, database management systems, and online registration systems.
  • Educational Trends and Best Practices: Awareness of current trends, issues, and best practices in higher education, including innovations in academic advising, student support services, and enrollment management strategies.

 

Education and Experience: 

Graduation from an accredited institution with a bachelor's degree required; Master's degree in higher education administration, student affairs, or related field preferred. Previous experience in academic administration, student services, or registrar's office preferred.

  • Bachelor's Degree; Master's preferred
  • Five or more years working in higher education leadership preferred
  • Minimum of three years experience in a Registrar Office capacity preferred
  • Thorough understanding of FERPA preferred
